University of Cambridge builds digital foundation for estate management

Background

The University of Cambridge manages a complex estate spanning eight centuries, from historic buildings to cutting-edge research facilities. Since 2016, its Estates Division has used Asite as its Common Data Environment (CDE) of choice for major construction projects.

The Estates Division needed to replace manual, fragmented, email-based processes with a consistent approach to managing NEC contracts and information. It also needed project information to remain accessible after handover, supporting facilities management and future changes across the estate.  

Solution

The University of Cambridge's Estates Division uses Asite's  Common Data Environment (CDE) and Contract Management to manage project information and collaboration, and NEC3 and NEC4 contracts within one controlled environment. 

Automated workflows support ISO 19650-aligned processes by controlling document naming, versions, permissions, and approval status. It also tracks contractual communications, response periods, outstanding actions, and potential cost or program impacts. Information captured during construction can then feed into the University of Cambridge's Estates Division digital record and estates systems, continuing to deliver value throughout each building's lifecycle.
